We usually collect this information directly from you via email, phone, or online forms (such as Google Forms).

3. Sensitive Information

We may collect some special category data, such as information about health conditions, medications, or nationality, when it is relevant to the care or support being arranged.
We only collect what is necessary to deliver our services safely and appropriately.

4. How We Use Personal Data

We use personal data for the following purposes:

  • To manage and administer our business operations
  • To match clients with suitable helpers or carers
  • To communicate with clients and helpers by email, phone, or WhatsApp
  • To maintain records of care arrangements and communications
  • To support quality assurance, auditing, and regulatory compliance
  • To improve our services and handle feedback or complaints
  • Occasionally, to contact clients or helpers for testimonials, surveys, or case studies

We do not sell personal data or use it for unrelated marketing purposes.

5. Lawful Basis for Processing

We process personal data under the following lawful bases:

  • Consent – when you provide information for us to match you or someone you care for with a helper/carer.
  • Contract – when data is needed to deliver or manage an agreed service.
  • Legitimate interests – to vet helpers/carers, ensure safety, and operate our introduction and support services effectively.
  • Legal obligations – when required to keep records for regulatory, safeguarding, or tax purposes.
  • Vital interests – in rare cases, if we need to share data to protect someone’s life (e.g. during a medical emergency).

6. How We Share Data

We may share data:

  • Between clients and helpers/carers, as necessary for introductions and arrangements.
  • With healthcare or emergency services if a safety or medical issue arises.
  • With trusted service providers who support our operations, including:
    • Google (email, forms, document storage)
    • Microsoft / AWS (website hosting and technical services)
    • WhatsApp (communication, if used by the client/helper)

We ensure that any third parties handling data on our behalf comply with UK data protection standards.

Some data may be stored outside the UK (for example, on Google’s servers). When this occurs, we rely on appropriate safeguards such as the UK adequacy regulations or standard contractual clauses.

7. How Long We Keep Data

We retain personal data:

  • For the duration of the client–helper relationship, and
  • For up to 5 years afterwards, for audit, quality assurance, and regulatory reasons.

We may also keep basic contact details for future updates or follow-ups, unless you ask us to delete them sooner.

8. How We Protect Data

We take reasonable steps to keep personal data secure, including:

  • Limiting access to authorised personnel only
  • Using secure passwords and two-factor authentication
  • Relying on encrypted storage through Google and Microsoft services
  • Using secure devices and networks for communications and records

Despite these measures, no system is 100% secure. We therefore encourage users to avoid sending highly sensitive information unless necessary.

9. Your Rights

Under UK data protection law, you have the right to:

  • Access a copy of your personal data
  • Correct or update inaccurate information
  • Request deletion of your data (where legally possible)
  • Object to processing based on legitimate interests
